When do I use the yellow Independent Study form?

The form is used for students who want to register for independent study, thesis, project, dissertation, predissertation, or internship credit. The form must be signed by the faculty and returned to the Coordinator of Graduate Programs who will enter the registration.

How do I add or drop a class?

Before the add or drop deadline, all changes to a student's schedule are made through BUSI. To add or drop a class after the respective deadline, the student must come to the Watson Coordinator of Graduate Programs office and pick up a Graduate Late Add/Drop form.

How many credits do I have to take per semester?

Graduate students with less than 24 credit hours are considered full-time when they are enrolled in 12 credit hours. If a student has completed more than 24 credit hours, 9 credit hours is considered full-time.

How many credits can I take per semester?

Graduate students may register up to 14 credit hours with the approval of their advisor. To register for more than 14 credits, Graduate students must fill out the Graduate Overload Petition form.

If I drop a course does it show up on my transcript?

If a student drops a course before the drop deadline, the course does not show up on his or her transcript and it is treated as if the student never took the course. If a course is dropped after the drop deadline and before the withdraw deadline, the course is assigned a grade of W (withdraw) and appears on the student's transcript as such.

How do I transfer credit from courses I have taken at another school towards my Watson degree?

Credit from courses that a student has taken at another institution may be transferred towards a Watson School degree with approval from the Graduate Program Director and final approval from the Associate Dean of the Graduate School. Prior to taking the course, students should meet with their faculty advisor to discuss their options. A minimum grade of B must be earned to receive transfer credit. The University limit for Graduate Student transfer credit is 12.

Can I retake a class? Students who receive a failing grade in a class which is required for graduation must retake that course and receive a passing grade.

Students may also retake courses in which they received a grade of B- or lower. The following facts should be noted:

A student's Official University Transcript reflects all classes a student has taken at Binghamton University. The grade received the second time is counted towards the GPA.

How do I go get a transcript?

The Watson School does not provide students with any kind of transcript.

Students can go to the Registrar's Office (SW 119) and request an official or unofficial transcript, or make this request in writing via mail. A signature and social security number are required. No fee is charged for this service.

How do I request financial aid from the department?

Each spring, a memo is distributed to all graduate students which outlines the procedures for applying for an assistantship. The process includes submitting a resume and the names of two references from your department or letters of recommendation from references who are not in your department.

Forms This forms section tells you everything you've always wanted to know about Watson School graduate student forms, but were afraid to ask.
Where do I get forms?

Generally speaking forms are available from the office that finally receives the form. Those required by the Graduate office are available from the Graduate Office (AD 134). For instance, many forms are available outside the Watson School Graduate Coordinator's office (EB K16). If this rule of thumb is not working, and you are having trouble finding the form, contact us.

Independent Study form What is it used for? To add or drop any project, thesis, dissertation, independent study or internship before the Add/Drop Deadline. After the Drop Deadline, or Graduate Late Add/Drop form is used.

Who needs to sign it? Instructor (Make sure to note "Instructor Section Code")

Where does it go? After the form has been filled out and signed, the student brings it to the Coordinator of Graduate Programs (K-16) where the course will be added to the student's schedule.

Special notes/action:
After the Add/Drop Deadlines, the Graduate Late Add/Drop form must be used.

Address Change Form What is it used for? To notify the Registrar's Office that a student's local residential or permanent address has changed.

Who needs to sign it? The student just fills it out (no signatures required) Where does it go? Registrar's Office (SW 119)
Withdrawal Form What is it used for? To formally withdraw from Binghamton University. The student must withdraw from all courses.

Who needs to sign it? The student, Watson School Associate Dean, various offices Where does it go? Please refer to the order of signatures required on the form Special notes/action: This form is mandatory for graduate students. This is important regarding any possible tuition refund eligibility during the acceptable refund periods.
Graduate Certification of Full Time Status
What is it used for? To certify that a non-funded graduate student is spending full-time effort working on graduate research activities. This form is usually filled out when students have completed all of their coursework but need to maintain full-time status.

Who needs to sign it? Student's advisor, Department Graduate Director and the Graduate Office (AD 134)

Graduate Late Add/Drop What is it used for? Adding, dropping, deleting, and changing a graduate course after the designated deadlines.

Who Signs? Instructor of Course Graduate Director of department offering the course Associate Dean of the Graduate School (Graduate Office -- AD 134)

Where does it go (after department signatures are received)?
Student takes the form to the Graduate Office (AD 134) for approval. If any fees are to be paid, the student takes the form to the Office of Student Accounts (SW117). Then student takes form to the Office of the Registrar (SW119).

Special notes/action:
The form does NOT come back to the Watson School.

Graduate Declaration of Candidacy Form

What is it used for?
To notify the Graduate Office of a student's intention to graduate in a particular semester and to activate the formal degree conferral process.

Where does it go?
Graduate Office (AD 134)

Special notes/action:
Student must complete this form midway the semester he or she wishes to graduate. The Declaration is valid for only one semester. If the student does not graduate, he or she must fill out another form. Student must be in registered status in the semester (including summer) he or she plans to graduate.

Graduate Overload Petition

What is it used for?
For a grad student to take more than 14 credits in a semester.

Who needs to sign it?
Faculty Advisor, Department Chair, Assistant Dean of Graduate School

Where does it go?
After student gets form signed by Advisor and Dept. Chair, form goes to the Watson School Coordinator of Graduate Programs, (EB K16) and is forwarded to the Assistant Dean of the Graduate School

Graduate Extension of "I" What is it used for?
To extend a grade of incomplete for longer than six months (if registered for the next semester) or one year (if not registered for the next semester) after the grade was assigned.

Student Instructor of class in which incomplete was received and the Associate Dean of the Graduate School

Where does it go?
Graduate Office (AD 134)

Special notes/action:
Grades of I will revert to a W (withdrawn) after the deadline to complete a course.

Graduate Leave of Absence

What is it used for?
To keep matriculated status when a student has extreme circumstances that interfere with their ability to attend classes or maintain registered status

Graduate Application for Transfer Credit

What is it used for?
To transfer graduate course credit from another institution towards a student's Watson School graduate degree

Where does it go?
Graduate Office (AD 134)

Proposed Course of Study Master of Science and Master of Engineering What is it used for?
To list the courses a graduate student has taken towards his or her degree, in preparation for completion of the degree

Termination Requirement Form

What is it used for?
To officially recognize if the student is doing one of the following to complete his or her graduate work:

Comprehensive Exam
Termination Project
Thesis

Who needs to sign it?
If taking a comprehensive exam in Computer Science, the Department takes care of it Chair and other Members of committee

Where does it go?
Watson School Coordinator of Graduate Programs, (EB K16)

Special notes/action:
There is a different Termination Requirement form for students in the System Science program.

Tuition Scholarship Appeal What is it used for?
To approve out-of-state tuition for a funded graduate student in his or her first semester, or to request coverage of tuition in cases normally covered by tuition scholarships.

Ph.D. Procedure

What is it used for?
This Ph.D. Procedure form is an outline of the steps a Ph.D. student must take in order to receive a degree. Each department has its own set of procedures.

As a template for a student to specify his or her program of study for a Ph.D. degree.

What is it used for?
To designate or redesignate persons as members of a Ph.D. student's advisory committee.

Ph.D. Research Interest Statement What is it used for?
To identify the subject a Ph.D. student wishes to research.

This form is usually given out with the Ph.D. Principal Advisor Committee Form.

Recommendation for Admission to Candidacy What is it used for? To certify that a Ph.D. student has passed the Comprehensive Exams and to recommend that the student be advanced to candidacy.

Where does it go?The form should be given to the Watson School Coordinator of Graduate Programs, (EB K16), Associate Dean of the Graduate School

Recommend for Award of the Doctoral Degree

What is it used for? To recommend to the Graduate Office that a student receive a doctoral degree. This form is to be completed at the end of student's Ph.D. tenure.
